How we handle personal data on this website: what we collect, why, how long we keep it, and your rights.

1. Who we are
This website, shop-floor.ai, is run by Amsterdam Data Labs B.V. (“we”, “us”), Aardbeienstraat 4, 1326 HK Almere, the Netherlands, registered with the Dutch Chamber of Commerce under number 99189488. We are the controller for the personal data described in this policy.

This policy covers this website only. When a customer uses the Shopfloor AI product, we process their organisation's data on their behalf under our customer agreement and data processing agreement. See our Trust Center for how we protect that data.
2. What we collect and why
When you book a demo
The demo form asks for your work email, first and last name, job title, company, industry, phone number and country, and any comments you choose to add. We use these details to:
- reply to your request, arrange the demo and follow up on it;
- send you one email confirming that we received your request.
We process this data because you asked us to take these steps before a possible agreement (GDPR Article 6(1)(b)), and because we have a legitimate interest in answering business enquiries about our product (Article 6(1)(f)). We don't use it for anything else, and we don't add you to a mailing list.
When you email us
If you write to support@shop-floor.ai or privacy@amsterdamdatalabs.com, we receive your email address, name and whatever you include, and use them to answer you.
When you visit the site
Like any website, our hosting provider receives technical data needed to deliver the pages, such as your IP address, browser type and the time of the request. It is used to serve the site and keep it secure, and is not used to identify you.
3. Cookies and third parties
This website uses no cookies, no analytics and no advertising trackers, and stores nothing in your browser. Fonts and the intro video are served from our own site, so browsing it does not connect you to any third-party service.
The link to our Trust Center opens a page hosted by Vanta. If you follow it, Vanta's own privacy policy applies to that page.
4. Who receives your data
We don't sell your data or share it for marketing. It is processed only by our team and by these service providers, under data processing agreements:
- Microsoft Azure: hosts this website and sends the emails from the demo form (Azure Static Web Apps and Azure Communication Services);
- Microsoft 365: our email, where demo requests and messages arrive.
We may also disclose data where the law requires it.
5. Where your data is stored
We store data in Microsoft's EU regions (West Europe and Sweden Central). Data leaves the EU only where a provider needs it to, under a data processing agreement with recognised transfer safeguards, such as the EU's standard contractual clauses.
6. How long we keep it
- Demo requests and related emails: reviewed after 12 months without contact, and deleted no later than 24 months after our last contact.
- If you become a customer: we keep the related sales records for as long as the relationship lasts, plus the period Dutch law requires for financial records (generally seven years).
- Hosting and security logs: kept for a limited period to run and secure the service, then deleted.

7. How we protect it
Data is encrypted in transit and at rest. Access is limited to the people who need it and protected with multi-factor authentication, and our security controls are monitored continuously. Read more in our Trust Center. To report a security issue, email security@amsterdamdatalabs.com.
8. Your rights
Under the GDPR you can ask us to:
- give you a copy of the personal data we hold about you;
- correct data that is wrong or incomplete;
- delete your data;
- restrict how we use it, or object to our use of it;
- give you your data in a portable format.
Email privacy@amsterdamdatalabs.com. We may ask you to confirm your identity, for example from the email address we have on record. We acknowledge requests within three working days and answer within one month. If a request is complex, we may extend this by up to two months and will tell you why.
We don't make automated decisions about you that have legal or similarly significant effects.
If you're unhappy with how we handle your data, please tell us first. You also have the right to complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens, or to the authority in the EU country where you live.
9. Changes to this policy
We update this policy when what we do with personal data changes, and show the date of the latest version at the top. This version is dated 5 October 2026.
