What a good shift report contains

A shift report is read by people who weren’t there. It has to tell them, in a minute or two, how the shift went and what needs their attention. The generator uses the same structure every time:

  • Summary: two or three sentences on how the shift went.
  • Safety: near-misses, hazards and anything still unsafe.
  • Quality: deviations, holds and failed or missed checks.
  • Downtime and losses: stops, their causes and the minutes lost.
  • Open actions: what’s unfinished, with an owner and a due time.
  • For the next shift: what the incoming team should watch first.

It also lists what a complete report would still need, such as output against plan when your notes don’t mention it. That list is often the most useful part: it shows what your notes routinely leave out.

For the full procedure, including what to cover at shift change and a printable checklist, read our digital shift handover guide.

Before and after

Notes like these, typed at the end of a night shift:

L3 filler jam x2 after 22:00 abt 25 min. nozzle 4 swapped 02:10 ok since.
palletiser guard cracked - taped, maint told no WO yet
batch 2214 labels on hold, QA to check am
short 1 on L2, Sam covered from L1

become a report where the filler stops are under downtime with the 25 minutes, the taped guard is a safety item, the label hold is a quality item, and two open actions appear: raise a work order for the guard (owner not stated) and recheck batch 2214 (QA, morning). The missing list would ask for output against plan.

Frequently asked questions

Is the shift report generator free?

Yes. There’s no sign-up and no email address needed. To keep it free for everyone, each person can generate a limited number of reports an hour.

Are my notes stored?

No. Your notes are sent to an AI model to write the report and the report is sent back to your browser; we don’t save either one or log their content. The AI provider, Anthropic, processes them on our behalf and doesn’t use them to train its models. Leave out personal names if you don’t need them in the report.

Does it make anything up?

It’s instructed to use only what your notes say. Where an owner, a time or a figure is missing, it writes “Not stated” and lists what a complete report would still need, instead of guessing. Always read the report before you share it.

Can it use voice notes?

Not yet: this free tool works from typed notes. In Shopfloor AI, operators capture by voice, photo or text during the shift, and the handover and shift report are drafted from those captures.

How is this different from Shopfloor AI?

This tool tidies notes someone has already written. Shopfloor AI captures what happens during the shift, from every line, so nobody has to write the notes at the end. Open actions carry over and escalate, and every report is kept and searchable.

Stop writing shift reports at all

Shopfloor AI drafts the handover and the shift report from what the team captures on the line. See how digital shift handover works.
